New Business Coordinator

Working hours: 9am to 6pm, Monday to Friday, however, we offer flexible start and finish times (8am to 10am and 5pm to 7pm), to be discussed and agreed with line manager.
Overview
Part of the New Business & Marketing team, creating competitive submissions for the provision of ZHA’s architectural services to all civic sectors and global regions. The role is heavily focussed on bids coordination and production, including EOIs/ PQQs/ Tenders, coordinating input from international teams of sub-consultants and working with ZHA’s projects Directors with confidence and autonomy. Supporting the production of large submissions, including tender-stage and design submissions, in collaboration with the wider Acquisitions team and Design Staff.
Main responsibilities
  • Manage and produce submissions such as expression of interest (EOI), pre-qualification questionnaire (PQQ) and request for qualifications (RFQ) for international projects
  • Coordinate the production of second stage bid submissions such as invitation to tender (ITT), request for proposal (RFP) often working alongside the ZHA design teams
  • Work closely with the Partner for New Business, Project Partners, Heads of Teams, and Senior Project Leaders to deliver compelling, compliant, written proposal responses, working to specified deadlines
  • Liaise with partnering consultant organisations and competition organisers, to identify competition requirements and then coordinate the production and delivery of submission content
  • Arrange for internal reviews and sign off of tenders and bid content prior to submission in line with quality requirements
  • Work in close collaboration with the wider Communications team, where needed, to produce content for bids and presentations
  • Maintain the company’s business development information across all internal systems including the team calendar and the company-wide intranet, including to record potential project opportunities and ongoing competition activities, as well to keep an ongoing record of competition outcomes and general business development performance
  • Liaise with Design Staff and Project Administrative Staff to identify and record key value information from the office’s ongoing and completed design work, to inform future bids & business development activities
Skills Required
  • A minimum of 3 years’ experience – ideally in Architecture, Engineering or Construction - supporting the preparation of competitive submissions, ideally working with the Architecture or wider Civil Engineering sectors
  • Excellent time management skills and ability to deal with time-sensitive / multiple deadlines, often due at the same time
  • Excellent knowledge of the procurement process and typical bid-stage requirements such as EOI, PQQ, ITT or design submissions
  • Experience processing new project opportunities, including reviewing online sources, recording key information to company systems, and writing up summaries for internal review and evaluation
  • Experience maintaining internal systems (e.g. intranet) and content libraries (e.g. template submission content), with the objective to monitor business development activity and performance and to enhance certainty of submission quality

  • Ability to thrive in a busy and fast-paced working environment and to handle periods of intense workload
  • Flexible to some reasonable overtime – to note this is not a standard practice but sometimes is needed
  • Confident team player, comfortable to work as part of a diverse team, as well as independently
  • Problem solving and a highly reliable individual who is able to manage a high volume of deadlines
  • Excellent communication skills, including written and spoken, with an ability to deal with information and people diplomatically and with confidentiality where needed
  • Excellent command of the English language (other languages are advantageous but not mandatory), with experience writing compelling bids
  • Ability to create and build relationships at all levels across the business and externally
  • Existing knowledge and interest in Architecture/ Engineering and Construction
